iCollege Banner courses created in Fall 2019 or earlier will be deleted by USG in June 2025. In the future, all iCollege Banner courses will be subject to periodic deletions for any courses more than 5 years old.
This iCleaning process is being implemented by the University System of Georgia in order to adhere to data storage limitations and bring LMS data into compliance.
The iCleaning will take place over two phases. Phase 1 will impact only Banner (credit-bearing) courses. Phase 2 will impact Non-Banner courses, such as sandboxes, templates, building sections, and non-credit courses.
PHASE 1: Banner Courses
During Phase 1, beginning in June 2025, iCollege Banner courses created in Fall 2019 or earlier will be deleted by USG, with plans to conduct subsequent course deletions periodically of any courses that are more than 5 years old.
If you wish to retain the content in Banner Courses that are older than 5 years old, we recommend that you export those courses and save as .zip files to another location, such as OneDrive or Dropbox.
However, exporting the course will only export the content, including question banks, quizzes, discussion posts, announcements, rubrics, links to external learning tool activities, assignments, and gradebook items. Your exported course will not contain student scores, submitted assignments, discussion posts, or quiz attempts. Student submissions and artifacts will need to be downloaded individually. In addition, you can export your iCollege gradebook as a separate file for future reference.
Any activities that are linked to external learning tools that save data and artifacts outside of iCollege, such as Kaltura quizzing, PlayPosit or Feedback Fruits integrations, and textbook integrations, will not be affected by this deletion policy. Those activities and their associated data will be available to you in the learning tool dashboards.
PHASE 2: Non-Banner Courses
For non-Banner iCollege courses (sandboxes, templates, building sections, and non-credit courses), this process is planned to begin October 2025. Further guidance regarding Phase 2 of iCleaning will be offered after fall semester begins.
